How to Work Smarter in Business Without Doing More

Work smarter, not harder, in your business to create the time you need to grow and to implement your amazing ideas.
Running a business takes resilience, dedication, and a whole lot of patience. It’s no small feat—and let’s be honest, it’s not always easy, no matter what the influencers and gurus tell you!
As a business owner or entrepreneur, you might be doing it all: managing operations, marketing, customer service, and finances. Even if you’re not handling everything alone and have support or a team around you, it can feel like you’re being pulled from pillar to post. And it’s easy to feel like there aren’t enough hours in the day.
But what if you could achieve better results without increasing your workload? What if you could find a way of focusing on the activities that move you forward?
Overwhelm is Real
Imagine knowing that you can achieve better results without increasing your workload by optimising and focusing on what matters. Doing so can free up time to realise your awesome ideas or spend time with those you love. That’s the power of working smarter, not harder.
If you’ve ever felt overwhelmed by your responsibilities as a business owner, you’re not alone. A survey by the Small Business Charter found that 20% of UK SME leaders feel overwhelmed by their responsibilities, which jumps to 35% among younger business owners aged 18 to 24 (Small Business Charter).
In addition, 24% of SME leaders feel they should possess more knowledge than they currently do, highlighting a common challenge: Many entrepreneurs think they’re constantly playing catch-up (Small Business Charter).
I know this feeling all too well. In the early days of my business, I wore “busy” as a badge of honour. I thought that if I was always working, always busy, it meant I was doing the right things.
Looking back, I was spinning all the plates, filling my time with tasks that weren’t moving my business forward. It took stepping back, being honest with myself and deciding what mattered—then putting the right strategies in place to start seeing real progress—without constantly feeling exhausted. It also took a breast cancer diagnosis in 2020 – yes, that fateful year that none of us will forget! So, I have been there, busy, doing all the things!
How to Work Smarter
You are not alone if you equate being busy with being productive. Hands up; that was me. I also linked it to success. You and I are not alone in doing this. Many business owners equate being busy with being productive, but these aren’t the same. By shifting your focus to the right activities, you can take control of your time and productivity.
But too often, we do not focus on the right activities. Perhaps hiding from the ‘harder’ stuff that will create momentum because of fear or not feeling ready – is good enough. Or maybe it is because information overload is real, and we believe every post, blog, and influencer has an opinion, idea, or ten-step formula to six figures.
To work smarter, ask yourself:
- Where is my time best spent? Not every task requires your attention; some can be automated, streamlined, or delegated.
- What’s moving the needle? Focusing on revenue-generating activities instead of ‘busy work’ will yield better results.
- Am I effectively leveraging technology? With 79% of SMEs identifying skill gaps in technology and AI, investing in the right tools and upskilling can help businesses operate more efficiently (Small Business Charter).
When I made these shifts in my business, everything changed. Instead of constantly feeling behind, I made progress without working more hours because it wasn’t about doing more; it was about doing what mattered.
Another realisation was that I had it all. I didn’t need more lead magnets or another networking group. Instead, I needed to optimise what I had. I needed to find a way to make the marketing puzzle pieces work together—a way to make the business work together and for me.
