Are you time-poor? Do you sometimes feel like there aren’t enough hours in the day? Do you crave time to implement your awesome ideas? If yes, you’re not alone.
Many business owners find themselves constantly trying to juggle a mountain of tasks, often feeling like they’re working around the clock but not making enough progress. It can feel as if you are doing all the things and not creating momentum. Equally, just as you think there is movement in the right direction, a fire starts, and you must put on your fire-fighters hat.
Understanding the fundamental difference between proactive and reactive work—working in and on your business—is key to reclaiming your time. Unfortunately, this can be a real challenge, especially for solopreneurs who are doing it all. In essence, managing your business’s daily operations and handling immediate tasks is you working IN it. Working ON your business means dedicating time to strategic planning and fostering long-term growth.
Some activities cross over, often where the confusion lies. You can get drawn into thinking you are working on your business when, in fact, you are working in it. Sales and outreach are great examples; without a strategy behind the activity, you are working in the business, when done as part of a broader strategy to grow and scale, ON it.
Are you time-poor because you are spending too much time in your business?
Too often, clients land at my doorstep because they are exhausted, doing everything in their business and not making progress. They are time-poor and are knocking on my door because they are ready to lead their business. No longer willing to hustle to make a buck or give up their evenings and weekends. They know there has to be a better and easier way and are ready to find it – work ON their business.
Even if you have a small team supporting you, working in your business can be an easy trap to fall into—micromanaging people, departments, and projects, trying to control and be in control of everything.
The Common Trap of Wearing All the Hats
When you first started your business, you took on every task. After all, it was your dream, your vision, and you wanted to do it all! But as your business grows, so does your to-do list.
While it might seem manageable initially, trying to wear every hat—handling client work, managing admin tasks, or firefighting day-to-day issues can soon become overwhelming. This is very much a solopreneur problem but can equally impact a small business through its growing phases.
Here’s why business owners struggle with time:
Too Many Roles: You’re not just the CEO—you’re also the marketing team, the customer service manager, the accountant and sometimes even the cleaner! The smaller your business, the more roles you need to fill. This multitasking eats away at the time you should be dedicating to strategy, innovation, and growth.
Lack of Boundaries: Many business owners find it hard to set boundaries. You may feel pressured to always be available to clients, answer emails at all hours, or solve problems when they arise. Without clear boundaries between work and personal time, it’s easy for business tasks to expand and take over every corner of your life.
Reactive Versus Proactive: Most small business owners operate in reactive mode, putting out fires as they arise. This constant firefighting is draining and leaves little room for proactive planning. You spend so much time dealing with day-to-day operational issues that there’s rarely any time left for strategic thinking or planning the next big move.
No Clear Systems or Processes: Without solid systems, many tasks will likely fall on your shoulders. Whether it’s following up on leads or managing customer inquiries, functions that could be streamlined or automated end up consuming more time than necessary. The absence of clear processes creates bottlenecks and slows down your entire operation.
The Impact of Being Time-Poor
If you’re constantly caught up in the whirlwind of day-to-day tasks, it can be hard to step back and assess the long-term direction of your business. Some of the most significant business risks include:
- Burnout: You’re constantly exhausted, which impacts your decision-making, creativity, and ability to lead.
- Missed Opportunities: You may not have the time or energy to pursue new leads, explore growth strategies, or take advantage of market opportunities.
- Stalled Growth: Without enough time to focus on business strategy, your growth may stagnate, limiting your success.
- Poor Work-Life Balance: Constantly working means less time for personal relationships, self-care, and hobbies, leading to long-term dissatisfaction.
But don’t worry—this doesn’t have to be your reality.
How do you break free from this time-poor cycle?
The good news is that there are practical steps you can take to manage your time more effectively, allowing you to focus on growing your business without burning out.
However, please remember that you can’t manage ‘time’, which ticks along, and you can do nothing to stop it. So, unless you have a time machine, what you can and should do is focus on leading the business and managing yourself!
1. Prioritise and Delegate
First things first: not everything on your plate is of equal importance. Start by identifying your top priorities. Which tasks genuinely move the needle for your business? Focus on these and delegate the rest. Whether outsourcing to a freelancer or bringing in part-time help, lightening your load can free up valuable time for essential activities.
2. Set Boundaries
Creating boundaries is vital to reclaiming your time. Set specific work hours and stick to them. Make it clear to clients when you’re available and establish guidelines for non-urgent requests. This not only helps you manage your time better but also prevents burnout. It will also improve your relationship with your clients.
3. Implement Systems and Automate
You don’t need to handle every task manually. Invest in software and systems that streamline processes, from customer relationship management (CRM) to automated email follow-ups and invoicing. Automating routine tasks will free up more time for strategic activities, which can be more affordable than outsourcing in the early stages of your business journey.
4. Shift from Reactive to Proactive
Take control of your day by planning ahead. Start by mapping out your weekly goals and tasks, ensuring you allocate time to work on your business, not just in it. Proactive planning prevents you from feeling like you’re constantly chasing your tail and creates time for you to focus on growth initiatives. Time spent planning is always time well spent and saves you time in the long run.
4. Focus on Your Strengths
What are you best at? Where do you provide the most value to your business? Spend your time there and hire or outsource the rest. Focusing on your strengths allows you to grow faster without spreading yourself too thin. Even putting outsourcing aside, understanding your strengths and weaknesses will enable you to manage your business more easily and help you see where skills need developing and where you may need help when you can afford it.
